Whether you are a trader sending ten invoices a month or a manufacturer sending ten thousand, an invoice does two jobs. It asks your customer for money, and it is a tax record for both of you. When it is missing a detail, the first job slows down because the customer's accounts team sends it back, and the second job fails because the VAT on it may not be claimable.

Here is what a Nigerian invoice should carry, and why each item matters.

    The invoice checklist

    • The word "Invoice" (or "Tax invoice" if you charge VAT) and a unique invoice number that follows a sequence.
    • The date of issue and the payment due date.
    • Your registered business name, address and Tax Identification Number (TIN).
    • Your customer's name, address and, for business customers, their TIN.
    • A clear description of each item or service, with quantity and unit price.
    • The subtotal before VAT, the VAT charged at 7.5%, and the total, with VAT shown as its own line.
    • Payment details: the account to pay into, or a link to pay online.
    • Payment terms, such as "Due within 14 days", and any late payment terms you have agreed.

    Mistakes that cost you money

Reusing or skipping invoice numbers makes your records hard to audit and your VAT report hard to reconcile. Let software number invoices for you.

Burying VAT inside the price leaves your customer unable to claim it as input VAT, which is a common reason large clients reject an invoice.

Missing TINs slow down corporate clients, whose finance teams need them for their own tax records and withholding tax.

Vague descriptions such as "Services rendered" invite queries. Say what you delivered and when.

    Why templates stop working

A template can carry all of the above, but it depends on someone typing everything correctly every time, and the finished PDF is not structured data. With NRS e-invoicing being phased in, invoices will have to come from software that can transmit them. See what to do before your e-invoicing deadline.

    How Billif helps

Billif invoicing numbers invoices automatically, stores your clients and their details once, calculates VAT, and adds a pay-link so the customer can pay online. Partial payments are tracked against the balance, and overdue invoices are chased by automatic reminders.

    Frequently asked questions

What is the VAT rate on invoices in Nigeria?
VAT is 7.5% on most goods and services, and the Nigeria Tax Act 2025 kept that rate. Show it as a separate line on the invoice.
Do I need a TIN on my invoice?
You should show your TIN on every invoice. Business customers need it for their own tax records, and suppliers without a valid TIN can face withholding tax at double the normal rate.
Can I send an invoice on WhatsApp?
You can share it that way, but the invoice itself should still be a proper numbered document with all the details above, and kept in your records.
